This notice explains how Global Talent Connection collects, uses, stores, and protects your personal information. We are committed to handling your data responsibly and in full compliance with the Protection of Personal Information Act, 2013 (POPIA). Please read this notice carefully before submitting your information to us.

We operate as a Responsible Party under POPIA, meaning we determine the purpose and means for processing your personal information.

What Information We Collect

2.1 Identity and contact information

  • Full name, surname, and date of birth
  • South African ID number or passport number
  • Mobile number, alternative number, and email address
  • Current residential province and city

2.2 Professional and employment information

  • Current and previous job titles, employers, and employment status
  • Years of experience in your trade or profession
  • Trade-specific skills, certifications, and equipment experience
  • Notice period, availability, and shift work preferences
  • Expected and current salary information
  • Willingness to relocate and travel requirements

2.3 Qualifications and certifications

  • Educational qualifications (school grade, tertiary, trade test)
  • Professional registrations (SETA, ECSA, SACPCMP, and similar bodies)
  • Compliance certifications (medical fitness, drug and alcohol testing)

2.4 Documents

  • Curriculum vitae (CV)
  • Certified copies of qualifications and certifications
  • South African ID document or passport copy

2.5 Demographic information

We collect gender and, where voluntarily provided, race. This information is collected solely for the purpose of Employment Equity compliance reporting and to assist clients in meeting their legislative obligations under the Employment Equity Act. It is never used to disadvantage any candidate and is not shared with clients without your consent.

2.6 Platform and consent data

  • Consent timestamp, IP address, and version of this Privacy Notice accepted
  • Platform login activity and document access logs (for signed clients)

Why We Collect Your Information

We collect and process your personal information for the following purposes:

Candidate placement
To assess your suitability for roles with our clients and to present you as a candidate where a suitable opportunity exists.
Skills verification
To verify your technical skills and experience against trade-specific criteria before presenting you to any client.
Reference and background checks
To conduct reference checks with your previous employers and, where applicable, to verify your qualifications and certifications.
Client matching
To match your profile to specific vacancies and present your anonymised or full profile to clients who have signed our Service Level Agreement.
Communication
To contact you about opportunities, the progress of your application, and any follow-up actions required.
Platform access
To create and manage your candidate profile on our platform and provide you with status updates on your applications.
Legal and compliance
To comply with our obligations under the Employment Equity Act, POPIA, and any other applicable South African legislation.
4.

Who We Share Your Information With

We do not sell, rent, or trade your personal information. We share your information only in the following circumstances:

4.1 Prospective employers (clients)

We share your profile with clients who have signed a Service Level Agreement with Global Talent Connection. Before sharing your full profile, we present an anonymised candidate card that shows your trade, skills, location, and experience — but not your name, contact details, or CV. Your full profile is only shared once a client has signed our SLA and we have assessed a genuine match with their vacancy.

4.2 Reference contacts

We contact your nominated referees to verify your employment history and performance. We will always ask you for referee consent before initiating any reference check.

4.3 International clients

Global Talent Connection places candidates with clients in South Africa and internationally. If you are being considered for an international placement, your information may be shared with an employer based outside South Africa. We take reasonable steps to ensure that any country or organisation receiving your data maintains data protection standards equivalent to or exceeding those required under POPIA. We will inform you before any cross-border data transfer occurs.

4.4 Service providers

We use the following service providers who may process your data on our behalf, under strict data processing agreements:

  • Airtable — secure cloud database for candidate records
  • Supabase — platform authentication and document storage
  • Zapier — automated workflow processing
  • Microsoft 365 — email communications

All service providers are contractually bound to process your data only for the purposes we specify and to maintain appropriate security standards.

4.5 Legal obligations

We may disclose your information if required to do so by law, regulation, or court order.

How Long We Keep Your Information

Active candidates
For as long as you remain active in our pipeline and for 3 years after your last contact with us, or after any placement made by GTC.
Placed candidates
For 3 years from the date of placement, or longer if required by law or by an ongoing contractual relationship.
Unsuccessful candidates
For 2 years from the date of your last application or contact, after which your data will be deleted or anonymised.
Consent records
Permanently. We are required by law to retain evidence of your consent to process your data.
Documents (CV, ID, certs)
For the same period as your candidate record. Documents are stored in a private, encrypted cloud storage environment.

After the applicable retention period, we will securely delete or anonymise your personal information. You may request deletion at any time — see Section 7 below.

How We Protect Your Information

We take the security of your personal information seriously. Our technical and organisational safeguards include:

  • Encrypted cloud storage with access controls and private storage buckets
  • Role-based access — only authorised GTC personnel and contracted clients can access your data
  • Signed document URLs that expire after one hour — documents are never publicly accessible
  • Multi-factor authentication on all internal systems
  • Data minimisation — we collect only what is necessary for the stated purpose
  • Regular reviews of data held to remove outdated or unnecessary records

No method of electronic transmission or storage is completely secure. While we take all reasonable steps to protect your information, we cannot guarantee absolute security.

7.

Your Rights Under POPIA

Under the Protection of Personal Information Act, 2013, you have the following rights:

Access
You may request a copy of the personal information we hold about you at any time.
Correction
You may request that we correct inaccurate, incomplete, or outdated information.
Deletion
You may request that we delete your personal information. We will action deletion requests within 30 days and confirm in writing. Note: we are required to retain consent records permanently.
Objection
You may object to the processing of your personal information at any time. If you object, we will cease processing unless we have a legitimate or legal reason to continue.
Withdrawal of consent
Where processing is based on your consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing before the withdrawal.
Complaint
If you believe we have violated your rights, you may lodge a complaint with the Information Regulator of South Africa at www.justice.gov.za/inforeg.

Consent

By submitting your information to Global Talent Connection — whether via a skills form, application form, or any other means — you confirm that:

  • You have read and understood this Privacy Notice
  • You consent to GTC collecting, processing, and storing your personal information for the purposes described in this notice
  • You consent to GTC sharing your anonymised profile with prospective clients before a full profile is shared, and your full profile with clients who have signed the GTC Service Level Agreement
  • You consent to GTC conducting reference checks with your nominated referees
  • You understand that you may withdraw your consent at any time by contacting us at recruitment@globaltalentconnection.co.za

Your consent is recorded electronically at the time of submission. The record includes your typed name, the date and time of submission, the IP address from which the submission was made, and the version of this Privacy Notice that was in effect at the time.

Cookies and Website Data

Our website uses cookies and similar technologies to ensure the platform functions correctly and to provide a secure login experience. We do not use tracking cookies for advertising purposes. The cookies we use are limited to:

  • Session cookies — required for platform login and to maintain your session while you browse
  • Security cookies — required to protect against unauthorised access

You can disable cookies in your browser settings, but doing so may prevent you from accessing authenticated areas of the platform.

Changes to This Notice

We may update this Privacy Notice from time to time to reflect changes in our practices, legal requirements, or platform features. When we do, we will update the version number and date at the top of this document. If we make material changes that affect your rights, we will notify you by email before the changes take effect. The current version of this notice is always available on our website at www.globaltalentconnection.co.za.
